Offline Mobile Access

Offline mode allows you to manage tools and inventory without internet connection. This is a great option for businesses that need to work offline for operational reasons.

Because Offline mode alters the normal workflow and puts restrictions, you must enable it for each location that needs it. When you enable offline mode for a location, all field request and store transfer request switch to catalog (or tool name only) mode to ensure data integrity and consistency. In addition, it is recommended that only users physically at the location carry out checkout, check-in and transfer activities. Because of offline activity, ToolWorks is not able to do real-time synchronization with the central system and hence cannot provide real-time inventory visibility. And hence use of Catalog only request and need to be physically at the location to do activities.

How To Enable Offline Mode

  1. Navigate to Locations tab. [shift-l]
  2. Click on the location you want to enable offline mode.
  3. Turn on/Check the Offline Mode checkbox.
  4. Click Save to save the changes.

How to Go Offline on Mobile

  1. Navigate to Dashboard tab.
  2. Scroll to the bottom and click Go Offline.

This will download all the data locally, including tool, location information, employees, and current assignments. Once offline, you can:

  • Check out and assign tools to team members
  • Check in returned tools
  • Update tool details.

Note: Field users and Staff that are online can continue to their normal workflow online.

  • Create tool requests using the catalog system
  • Create store transfer requests

How to Sync and Go Online

  1. Navigate to Dashboard tab.
  2. Scroll to the bottom and click Sync and Go Online.

This will upload all the offline activities to the central system and transition back to online mode.

FAQ

  1. What happens when I go offline?

    • All the data required for Checkout, Check-in and Inventory is downloaded to your device.
    • Data is persisted locally even if you close the app.
    • Checkout, Check-in and Inventory update activities are stored locally.
  2. What happens when I go online?

    • Checkout, Check-in and Inventory data that was changed and stored locally is uploaded to the central system.
    • All offline data is cleared.
  3. What happens in case of conflicts?

    • If an error occurs during the upload, you will be notified.
    • Local data is not cleared.
    • You can try to upload again.
  4. What happens if I close the app?

    • Data is persisted locally even if you close the app.
