Store Transfer

Store Transfer allows you to get tools from other store, give tools to other store, and fulfill tool transfer request.

Two Types of Transfer Requests

Store Transfer Workflow

  1. Direct Transfer (default) - Transfers tools directly from one store to another. This transfer is immediate and records are updated instantly to show the new store.

  2. Workflow based Transfer Request - Allows you to request transfer (out or in) of tools from other store. This is beneficial when you are transferring tools long distance and there is chance of tools getting damaged or lost. Tool status is changed to 'In Transit', and only on acceptance it is changed based on user selection of tool condition.

Transfer Out Workflow

  • Ready - Originating Store Creates Request and Send out Tool
  • Completed - Receiving Store, gets tools, marks status of each tool (ok/damage/lost) and then accepts transfer.

Transfer In Workflow

  • Pending - Requesting Store Creates Request to get tools.
  • Ready - Source store fulfills request and sends out tools.
  • Completed - Requesting Store gets tools, marks status of each tool (ok/damage/lost) and then accepts transfer.

Security

User needs one or more of following rights to access Store Transfer Management.

  • Store Transfer - This right allows user to request transfer of tools from other store.(transfer in/get tools)
  • Adhoc Store Transfer - This right allows user to transfer of tools to other store.(transfer out/give tools)
  • Access To All Stores - This right allows user to get/give tools from any stores.
  • Access To All Child Stores - This right allows user to get/give tools from any child stores. (Enterprise feature)
  • Fulfill Tool Transfer - This right allows user to fulfill tool transfer request.

By default, Store Staff role grants user Access To All Stores and Store Transfer rights. Store Manager role grants user Access To All Stores, Store Transfer and Adhoc Store Transfer rights.

You can customize any of roles by granting additional rights or create new roles based on your requirements. Navigate to Settings. [shift-ctrl-s] and click Roles to view list of role. Click any of role to see assigned rights.

Store Transfer Out - Give Tools

Store Transfer Out allows you to transfer tools to another store or fulfill tool transfer request from other tool store.

Direct Transfer

  1. Navigate to Tools tab. [shift-t]
  2. Find Tool and click Add To Cart, for all tools that need to be transferred
  3. In Cart, click Transfer, enter store details and click Transfer to directly transfer tools (without requiring acceptance).

Workflow Based Transfer With Acceptance

  1. Navigate to Tools tab. [shift-t]
  2. Find Tool and click Add To Cart, for all tools that need to be transferred
  3. In Cart, click Transfer, enter store details and click Create to create transfer out request that will be accepted by receiving store. Recipient store staff will be notified request.

Store transfer in allows you get tools from other store.

Direct Transfer

  1. Navigate to Tools tab [shift-t] and select Desired Store to transfer out from.
  2. Find tools and click Add to Cart
  3. From Cart, click Transfer. This will show Transfer In view.
  4. Click Transfer to directly transfer tools (without requiring acceptance).

From store must support Scan And Go OR you need to have adhoc transfer rights and are transferring tool back to ancestor store.

Workflow Based Transfer With Acceptance

  1. Navigate to Tools tab [shift-t] and select Desired Store to transfer out from.
  2. Find tools and click Add to Cart
  3. From Cart, click Transfer. This will show Transfer In view.
  4. Click Create to start transfer request workflow. You will get notification once request is fulfilled with tools and tools are ready to be accepted.

Requests

Quickly locate any transfer request using simple search functionality, just enter few characters of transfer request number and system will auto search and show relevant transfers.

You can also filter orders using status:

  • Pending: Pending request to be fulfilled (give tools to requesting store)
  • Ready: Requests that were picked/transferred and are ready to accept.
  • Completed: Requests that were transferred and tools received.
  • Lost: Requests that were marked lost due to damage to tool during transfer or tool not being found.
  • Cancelled: Requests that were cancelled.

Use Location filter to see transfer request related to specific location. (subject to appropriate rights)

Click on Transfer Request to get details regarding tools being transferred.

How to Fulfill Tool Transfer Request

  1. Navigate to Store Transfers tab. [shift-s]
  2. Find and select Pending Request
  3. Gather requested tools and click Ready

Note: This will notify requesting store staff that tools are ready to be transferred. Once transfer is done, they can Accept tools.

How to Accept Tool Transfer

  1. Navigate to Store Transfers. [shift-s]
  2. Find and select Ready Request
  3. Click Accept

Copilot

You can use Copilot to transfer tools as well. Just launch Copilot and enter "Transfer Hammer Drill and 2 drill bits from Warehouse to Job site". The Copilot will handle the details for you. You can use quick pickers for Location to simplify your requests.

Store Transfer Method

Admins can require/force users to always create a workflow based store transfer instead of direct transfer.

  1. Navigate to Settings. [shift-ctrl-s]
  2. Click Configuration
  3. Click Supported Store Transfer Method and then select Workflow Based

Track Store Transfer Returns

If you are transferring tools from parent store to child store, you can track when those tools are transferred back to parent store. You can view returns on the list view as Return/Sent. Transfer details shows individual tool returns. In order to track return, you need to enable tracking of returns in configuration. (Enterprise Feature)

  1. Navigate to Settings. [shift-ctrl-s]
  2. Click Configuration
  3. Check Track Store Transfer Returns

Reports

Three reports are available to track and get information on Store Transfers.

Store to Store Tool Transfers

This report will show all store transfers that took place in a selected duration. You can also filter by status.

Tools Lost In Transit

This report will show all tools that were lost in transit.

Store Transfer Returns

List showing count of tools transferred out from parent store and tools returned. Please note that report shows returns at aggregate level.
