ToolWorks May 2025 Product Updates:AI-Powered Maintenance, Smarter Dashboards & Better Reports
Start Tracking NowThroughout May 2025, we rolled out a series of powerful updates across ToolWorks—delivered incrementally, week by week.
These updates are part of our continued effort to make ToolWorks smarter, faster, and more useful for tool managers, maintenance leads, and field teams. From AI-powered service task automation to improved dashboards, the latest features are built to save time and boost productivity.
Let’s take a closer look at everything that landed in May:
1. New Report: Assigned Orders
A brand new report to help you stay on top of daily tool usage.
- See all tools checked out on a specific date and from a specific location
- Includes return information
- 🔍 Filter by data, and job site
- Export data for documentation or compliance
This is especially useful for supervisors reviewing tool movement for a shift or day.
2. AI Service Tasks Generator
Let ToolWorks AI take care of the busywork.
- Automatically generate a checklist of service tasks based on the maintenance activity
- Ensure consistency across similar types of equipment
- Keep records of what was done and when
This smart assistant helps reduce errors and streamline service tracking.
3. External Service Provider Management
Easily track work done by third-party vendors.
- Add external providers right into ToolWorks
- Link their services to specific maintenance orders
- Keep all maintenance history centralized
Ideal for teams that rely on contractors but want to keep everything logged in one place.
4. New Dashboard Widgets
Keep tabs on what matters most—at a glance.
- Total Tool Value
- Value of Tools in Maintenance
- Value of Tools Currently Assigned
These financial insights help managers make data-driven decisions about asset utilization. We also added ability to edit your dashboard widgets. Make your dashboard work the way you do. Whether you're in the office or the field, your dashboard now fits your workflow.
5. Compact, More Efficient User Interface
We redesigned the layout to give you more space for what matters.
- Removed the top bar and moved key items to the side nav
- Cleaner layout with better vertical space usage
- Optimized for desktop that are less than 700px tall!
This change makes it easier to review long lists, especially on displays that are wider than taller.
6. Enhanced Camera Experience (Mobile App)
Taking tool photos has never been faster—or clearer.
- Improved quality with enhanced white balance
- Auto-rotate to ensure correct orientation
- Faster image capture and upload
Better for documenting tool conditions before and after use.
7. Full Check-In Records
View complete check-in details at a glance.
- See all tools returned in one check-in transaction
- Get the full context, not just item-level info
- Use this alongside existing checkout info
This boosts transparency, especially when handling bulk returns.
8. Checkout & Check-In Photos
Add visual evidence at every stage of tool handling.
- Take photos during tool checkout
- Capture return condition with check-in photos
- Improve accountability across field teams
A must-have for high-value or fragile tools.
9. Enhanced Location View with Map
Add, view, and manage locations with ease.
- Drop pins to set or update addresses and coordinates
- See all locations on an interactive map
- View total tool count at each location
Great for multi-site operations that need quick visual oversight.
